Lot 3 covers the management of NHS patient records. Dajon is one of six suppliers on the lot. Services under it include:

  • Clinic preparation
  • Loose filing, reuniting loose paperwork with the original notes
  • Creating new patient records, with storage, delivery and collection
  • Digitisation, including scanning of patient records
  • Off-site storage of patient records at the supplier’s site
  • Interim resources, including an on-site managed service when needed

We have held the NHS Data Security and Protection Toolkit since 2019 [organisation code, status]. Our scanning meets BS 10008 for the legal admissibility of electronic records, and our information security is certified to ISO 27001. See medical records scanning, including Lloyd George records.

Lot 4 – Specialist Records Management Services

Lot 4 supports the Public Records Act 30/20 year rule. It helps central government and other eligible bodies identify, select, appraise and review records before they transfer to The National Archives or another approved place of deposit. Dajon is one of three suppliers on the lot. It has five service lines:

  • Listing
  • Cataloguing
  • Appraisal and selection
  • Sensitivity review, fully managed or as a triage service
  • Record preparation

How to award us a contract

You can award a call-off contract under RM6346 in two ways. Both start with the specification and pricing model for your lot, which the Government Commercial Agency’s customer service centre provides on request (0345 410 2222). These documents are marked official-sensitive.

Award without competition (direct award)

  1. Request the Lot 3 or Lot 4 specification and pricing model from the Government Commercial Agency.
  2. Talk to us about your requirement. Pre-market engagement and requests for information are allowed.
  3. Write a clear specification of what you need.
  4. Apply the award without competition criteria in Framework Schedule 7, Annex A, and record how we meet them.
  5. Send us a completed and signed Framework Schedule 6 (the order form). This can be done electronically.

Award with competition (further competition)

  1. Request the specification and pricing model for your lot, and identify the suppliers who can meet your needs.
  2. Consider pre-market engagement or a request for information.
  3. Refine your deliverables with Framework Schedule 6 and set your award criteria.
  4. Invite every identified supplier on the lot to tender in writing by a set deadline, by email or through an eSourcing tool.
  5. Evaluate the tenders against your published criteria and send the successful supplier a completed and signed Framework Schedule 6.
  6. Give written feedback to the other suppliers and publish the contract on the Central Digital Platform.

The Government Commercial Agency’s free eSourcing tool can run either route. Check your own organisation’s procurement policies as well.
