Document Scanning Services in London

Dajon collects, scans and indexes paper records for organisations across all 32 London boroughs and the City – and does the scanning here, in our own London facility. Your files don’t leave the capital, aren’t passed to a subcontractor, and are tracked by barcode from your door to the system you load them into.

  • Scanned in-house in London, with a local office on Borough High Street, SE1.
  • More than 75 million images scanned for over 1,225 clients in 30 years.
  • ISO 27001, ISO 9001 and BS 10008 certified, Cyber Essentials certified and FSQS registered.

Scanned in London, not shipped out of it

Many providers that serve London collect in the capital and scan somewhere else. That puts your records on the road for longer and adds a journey to every urgent retrieval. Dajon’s scanning centre is in Orpington, in the London Borough of Bromley, and our London office is on Borough High Street.

What that means in practice:

  • Collection at short notice: Our team is already in London, so we can collect at short notice and around your timetable.
  • Urgent files back fast: If you need a file while your project is under way, we pull it and scan it on demand. On one London project, requested files were online within an hour.
  • Scoping on site: For larger archives, a member of our team can visit to assess volumes, document condition and access before we quote.
  • A short chain of custody: Fewer miles and no third parties between collection and scanning means fewer points where something can go wrong.

“We have used Dajon Data Management for the scanning of our financial records. They have carried out their work in a very efficient and cost effective manner… we highly recommend them”

Southwark Council

Document scanning for London’s key sectors

London’s records problems look different from one sector to the next. We tailor preparation, indexing and security to each.

Financial services and insurance

City firms work under strict regulatory and client-confidentiality obligations. We are FSQS registered, certified to ISO 27001, and experienced with policy files, broker files and claims records – including more than 12,600 insurance files digitised for Liberty Mutual ahead of its move to London.

For firms and chambers across Holborn, the City and Westminster, we scan case files, deeds and bundles with indexing that matches your matter structure. We also provide litigation pagination for court-ready bundles.

Property and estates

Leases, title documents, safety certificates and tenant files are retrieved constantly and rarely stored well. We helped Strettons, a London property adviser, clear an archive of 700 boxes before an office move.

Public sector and education

We have scanned financial records for Southwark Council and work with London universities and professional bodies.

Museums, archives and heritage

Fragile and historic material needs careful handling and high-resolution capture. We digitised around 70,000 photographic prints for the National Army Museum, some dating back to the late 1870s.

Proven Document Scanning Project

700 archive boxes → approximately 6,000 digital records

Dajon helped Strettons convert a substantial paper archive containing internal administration records and confidential client information into an accessible digital resource.

Why London organisations digitise their records

Office space is too expensive for filing

Every filing cabinet in a London office occupies floor space paid for at London rents. Scanning frees that space, and document storage or confidential destruction deals with the originals.

Office moves and lease events

A move or lease break is the most common trigger for a scanning project. Scanning before you move means fewer boxes to transport and day-one digital access in the new office. Strettons moved from Artillery Lane to Sun Street without its 700 archive boxes – over a million sheets were scanned in around 20 days.

Compliance and access requests

Searchable, indexed records make it far quicker to answer subject access requests, apply retention schedules and produce an audit trail. Our electronic records processes are audited against BS 10008, the standard for the legal admissibility of electronic information.

Hybrid working, migrations and AI

Paper files only help people who are in the office. Once scanned with accurate OCR and consistent metadata, your records can be used from anywhere and loaded into SharePoint, a document management system or an AI search tool without being reprocessed.

How our London scanning service works

  1. Scoping and quote: Tell us roughly what you have and when you need it. We come back within one working day with an approach and a quote, and can visit on site for larger archives.
  2. Collection: Vetted Dajon staff collect from your premises. Every box is barcoded and logged before it leaves your building.
  3. Preparation: We remove staples, clips and bindings, repair damaged pages and sort files into scanning batches.
  4. Scanning: Pages are captured at 300 DPI as standard and 600 DPI for detailed work, on production equipment suited to each document type, up to A0.
  5. OCR and indexing: Text is made searchable and each document is indexed by name, date, reference or document type, with an index file in CSV or XML.
  6. Quality checking and delivery: Every batch is checked against the originals, then delivered into SharePoint, your document management system or by secure transfer.
  7. Your originals: We return them, store them in our secure facility, or destroy them confidentially with a certificate once you approve.

What We Scan

Most London archives are a mix, and we handle all of it: archive boxes and lever arch files, HR and personnel files, financial records and invoices, legal and case files, deeds and leases, healthcare records, surveys and questionnaires, books and bound volumes, photographs, historical material, and drawings, maps and plans up to A0.

Approximately 70,000 historical photographs digitised

Dajon digitised approximately 700 folders containing around 70,000 photographic prints for the National Army Museum, including historical photographs dating back to the late 1870s.

The project required careful document handling, audit trails and specialist scanning of historic material.

Frequently Asked Questions

Where are my documents scanned

In our own scanning facility in Orpington, in the London Borough of Bromley. Your documents are not sent outside London and no work is subcontracted.

Do you collect from anywhere in London?

Yes. We collect from all 32 London boroughs and the City of London, including Canary Wharf, and from across the South East. Tell us about any access arrangements – loading bay bookings, goods lifts or security passes – when you enquire, and we’ll plan the collection around them.

How much does document scanning cost in London?

Standard business scanning typically costs between £0.04 and £0.12 per image, depending on volume, document condition and the output you need. Larger volumes cost less per page. Our quotes include collection, preparation and delivery, so there are no hidden extras.

Can I get a file back while the rest of the archive is being scanned?

Yes. Every box and file is barcoded, so we can find any record during the project and scan it on demand while the rest of the project continues.

Can you scan our files before an office move?

Yes, and it is one of the most common reasons London organisations contact us. We agree a schedule that works back from your move date, so you move with fewer boxes and full digital access from day one.

What happens to the original documents?

You decide. We can return them, store them in our secure facility, or destroy them confidentially and issue a certificate of destruction once you give written approval.
